Organization, flexibility, ability to multi-task, meet deadlines and work as part of a team is a must for this position. Must exhibit well-developed communications and reading skills along with a high-reasoning ability. Proactively provides customers, colleagues and employees with an excellent first impression in a cheerful manner. Handles regular tasks and special requests as needed with a high attention to detail. All customer interactions must be delivered professionally and in a courteous manner. Must maintain a strong level of confidentiality.ESSENTIAL DUTIES & RESPONSIBILITIES include the following; other duties may be assigned:Manage special projects.Research and preparation of reports.Manage functions of business.Effective calendar management of assigned Executives.Manage and maintain communications for assigned Executives as directed.Manage logistics for meetings and events.Answer incoming phone calls and transfer to the appropriate person.Own the phone call and make sure the internal or external client is taken care of.Provide front desk coverage welcoming and directing customers and setting up meetings.Maintain scheduling of the 18th floor board and conference rooms and videoconferencing equipment.Process and distribute incoming and outgoing mail.Data entry and filing.Prioritizes multiple customer demands to provide maximum service levels to all customers and employees.Make travel arrangements for Holding Company staff.Complete expense reports and invoicing as needed.QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. College degree and/or certifications as an administrative professional are preferred. Three to five years of administrative support experience.Must have proficient typing skills and a solid proficiency with computer systems and word processing software specifically MS Word, Excel, PowerPoint, Access and Outlook Email/Calendar. Must also possess strong organizational, interpersonal and communication (written and verbal) skills.OTHER SKILLS & ABILITIESThis position requires the ability to properly prioritize workloads. Requires the ability to meet and deal with shareholders, board members, the public and co-workers in a friendly, professional manner. Ability to handle highly sensitive and confidential matters. The position requires flexibility as priorities change and as needs arise to assist other department colleagues. Professional grooming and adherence to FIB dress code. Candidate will possess the ability to both independently and proactively anticipate potential needs and problem solve solutions.LANGUAGE SKILLSAbility to read and comprehend instructions, short correspondence and memos. Ability to write simple correspondence and effectively present information to customers, clients and employees.MATHEMATICAL SKILLSAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.REASONING ABILITYAbility to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations seeking assistance as needed.PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to stand, walk, sit, and talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus.WORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
